How to select a CRM system?

Based upon NORDA Advisory’s proven guided methodology for Software Selection, the corresponding software is selected within 6 to 12 weeks Software selection should follow a stringent, compliant process. The individual duration depends on the business process scope as well as geographical scope you want to cover with your software.

NORDA Advisory’s best-practice process for software selection looks like this:

  1. Scope
  2. Shortlist + Fit-Gap analysis
  3. Demo + Evaluation
  4. Decision
  5. Negotiation
  6. Signature

  1. Scope

Based upon the selected business process scope from NORDA Advisory’s business process map, the corresponding functional and non-functional business requirements are selected from NORDA Advisory’s business requirement repository and copied to a client-specific business requirement list. The corresponding business requirements are discussed within workshops and either they stay, or they are deleted from the list. In addition to this, a minor set of business requirements are gathered within a workshop and added to the list as well. Afterward these business requirements are prioritized.

This approach guarantees efficiency, reduced time, and best practice.

  1. Shortlist + Fit-Gap Analysis

From NORDA Advisory’s software vendor and package repository, the longlist is reduced to a reduced longlist based upon the business requirements scope. The reduced longlist is discussed, and the shortlist is derived from it in a workshop, without deviating too much or adding any other software vendors back to the list. The shortlist should not consist of more than 3 to 5 software vendors.

NORDA Advisory checks the capabilities of the shortlisted software vendors and map the business requirements against them. This is the so-called fit-gap analysis. Finally, clients get a result based around their business requirements scope.

  1. Demo + Evaluation

In this phase a closed collaboration with the shortlisted software vendors is required.

The NORDA Advisory proven guided methodology includes evaluating the software vendors based upon the following dimensions:

  1. Functionality (result from fit-gap analysis)
  2. Cost (information from software vendor)
  3. Usability (client rating based upon NORDA Advisory’s questionnaire for usability evaluation)
  4. Integration (input from client in terms of IT System Landscape, evaluation by NORDA Advisory)
  5. Extension (information from software vendor)
  6. Risk (information from software vendor)

The result shows which software vendor and package is the best option for the client.

  1. Decision

The best-fitting scenario for your organization is picked and recommend it to the board by showing pros and cons and cost to get the necessary approval and support.

  1. Negotiation

Afterwards the client goes into contract negotiations with the selected software vendor.

  1. Signature

And hopefully sign the corresponding contract in time. We all know, the more we love to bargain, the longer it will take until we have an agreement.
